How to set up Windows mobile to send and receive Email

Windows mobile phones can be set up to connect to your personalised email address. Once set up, your email messages and contact list will sync on your phone.

Make sure you have created your email address in the Hosting Manager or Plesk for Windows Hosting, before setting it up on your Windows device.

The following steps were written for the default Mail application on Windows mobile devices. These settings may also be used with any email application, but the setup will be slightly different for each.

Setting up email on Windows 8 mobile

These are the steps you need to follow to set up your Windows device to send and receive email:

Step 1. Go to the Start screen. Swipe left to view the Main Apps list.
Step 2. Find the Settings icon and tap it to open the feature.

Step 3. On the Settings screen, find the email+accounts option and tap that.

Step 4. On the next screen, tap the add an account option.

Step 5. Next, tap the advanced setup option.

Step 6. On the Advanced Setup screen, fill out the following fields:

Email Address This is the personalised email address you have set up in your email hosting.

e.g. email@yourdomain.com
Password This is the authorisation key you use whenever you access the personalised email address you have set up in your email hosting.
To be sure you are typing the right password, check the box beside Show Password.

Note: If you have created several email addresses in your email hosting, make sure the authorisation key you put here corresponds to the email address you typed in the Email Address field.

Step 7. Then tap the Next button below.

Step 8. Next, tap the Internet email account or Internet email option.
Step 9. On the next screen, fill out the following fields:

Account name This is the name for your email account in your device.
Your name This is the name that will appear on your emails as the Sender.
Incoming email server This is the mail server that will handle your incoming emails.

It should be typed as mail.yourdomain.com. Replace the “yourdomain” part with your correct domain name.
Account type This is where you set whether you will use a POP3 or IMAP email accounts.
It is recommended that you choose IMAP since it will enable your device to sync, download, and store copies of your emails in your Windows phone.
User name This is your email address. Type in your full email address here.

e.g. email@yourdomain.com
Password This is the authorisation key to your mailbox.
Outgoing (SMTP) email server This is the mail server that will handle your outgoing emails.

It should be typed as mail.yourdomain.com. Replace the “yourdomain” part with your correct domain name.
Step 10. Make sure to check the boxes for Outgoing server requires authentication and Use the same user name and password for sending email.

Step 11. If you want to use SSL encryption between your mail server and email client, check the boxes for Require SSL for incoming email and Require SSL for outgoing email.

Note: Most phones have SSL certificates preinstalled in their device’s root store. Check your unit’s Device Security features to confirm this.

Step 12. Below, set your preferred frequency for retrieving emails from your mail server in the Download new content field.
For the Download email from field, set how far back you want your device to retrieve copies of your emails. For instance, if you want to retrieve all your emails from the last 3 days, choose the last 3 days. Default settings is the last 7 days.

Step 13. Tap the Sign in button to save your configuration settings.
Step 14. If you checked the SSL settings, you may see a notification that says “Attention Required” below your email address. Tap your email address or account.
Step 15. If there are some mismatch between your email address and your SSL certificate, you will get a warning with the heading “Untrusted certificate”.
You will also be asked Do you want to continue syncing information anyway? Just tap Continue.

Setting up email on Windows 10 mobile

These are the steps you need to follow to set up your Windows 10 device to send and receive email:

Step 1. Go to the Start screen. Swipe left to view the Main Apps list.
Step 2. Find the Settings icon and tap it to open the feature.
Step 3. On the Settings screen, find the Accounts option and tap that.

Step 4. Then, tap Email & app accounts.

Step 5. Tap the Add an account option.

Step 6. Next, tap the Advanced setup option.

Step 7. On the Advanced setup screen, tap Internet email.

Step 8. On the Internet email account screen, fill out the following fields:

Email address This is your email address. Type in your full email address here.

e.g. email@yourdomain.com
User name In most accounts, this also means your full email address.

e.g. email@yourdomain.com
Password This is the authorisation key to your mailbox.

Important Note: Make sure you enter the correct password. Take note that passwords are case-sensitive.

Account name This is the name for your email account in your device.
Send your messages using this name This is the name that will appear on your emails as the Sender.
Incoming email server This is the mail server that will handle your incoming emails.

It should be typed as mail.yourdomain.com. Replace the “yourdomain” part with your correct domain name.
Account type This is where you set whether you have a POP3 or IMAP4 accounts. It is recommended that you choose IMAP4 since it will enable your device to sync, download, and store copies of your emails in your Windows phone.
Outgoing (SMTP) email server This is the mail server that will handle your outgoing emails.

It should be typed as mail.yourdomain.com or smtp.yourdomain.com. Replace the “yourdomain” parts with your correct domain name.
Step 9. Make sure to check the boxes for Outgoing server requires authentication and Use the same user name and password for sending email.

Step 10. If you want to use SSL encryption between your mail server and email client, check the boxes for Require SSL for incoming email and Require SSL for outgoing email.

Step 11. Tap the Sign in button to save your configuration settings.

Step 12. If everything is good, you will get the following confirmation message:
All done!
Your account was set up successfully.
Tap the Done button to finish configuration settings.

Congratulations, you have added your email account to your Windows device. You should now be able to send, receive, and manage your emails using your Windows phone.
